TERMS OF REFERENCE

2004-2005

OBJECTIVES:

To promote the professional image and growth of the child care community of York Region by:

  • planning and hosting the Joy of Childhood Conference
  • promoting awareness of various resources and services available in the community
  • encouraging quality programming

MEMBERSHIP:

Membership is invited from Professional Associations, organizations, agencies and members of the child care community dedicated to the professional development of child care providers.

Members will be asked to make a minimum two year commitment and are expected to maintain their commitment and representation on the committee by attending a minimum of 8 of the regularly scheduled meetings.  Members are expected to support the activities of the Joy of Childhood Conference Subcommittee   and the Child Care Committee of York Region.

If a member and/or designate does not attend the required number of meetings they will be contacted to determine whether they will be able to continue their involvement.  If a member resigns their organization will be asked to appoint a replacement.

ORGANIZATIONAL STRUCTURE:

This subcommittee will address the tasks set out in the work plan through the following:

  1. Executive Subcommittee – Chair, vice chair or 2 co-chairs, treasurer, secretary and past chair.
  2. Other subcommittees as required by the work plan.

The term of office for executive positions is two years.  The executive is elected by the membership.

Each member will carry one vote and quorum will consist of 51% of membership.

ACCOUNTABILITY:

The Joy of Childhood Conference Subcommittee is accountable to the Child Care Committee of York Region through the Terms of Reference and the work plan.  After review of these documents, the subcommittee will forward them to the Child Care Committee for approval.  The Chair will sit as a member of the Child Care Committee and is expected to keep the Committee informed of the work of the subcommittee and any issues or concerns that arise.

Minutes of subcommittee meetings will be retained in the subcommittee binder and will be held by the secretary.

The membership is accountable to the agencies/organizations they represent, the Joy of Childhood Conference Subcommittee and the child care community of York Region.

FREQUENCY OF MEETINGS:

The Joy of Childhood Conference Subcommittee will meet monthly or as often as required to meet its objectives.

ORIENTATION:

Members of the Joy of Childhood Conference Subcommittee are responsible for the orientation and training of new members.  Orientation will address this subcommittee’s link to the child care committee as well as the subcommittee’s mandate, goals and objectives, operational and organizational structure, finances, and broader child care issues as they relate to the subcommittee operations.

TERMS OF REFERENCE TO BE REVIEWED EVERY TWO YEARS OR AS REQUIRED.
